We use cookies to track your workouts, preferences, and honestly, to see which parts of our site you're actually using. Nothing creepy, just helpful stuff to make your experience better. You can check out all the details below.

Overview

Look, we get it - nobody actually enjoys reading privacy policies. But here's the deal: at QuantumSpire Fitness, we're handling sensitive stuff like your health data, performance metrics, and personal info. So yeah, this matters.

We've been in the fitness game long enough to know that trust is everything. You're trusting us with your body composition data, workout history, nutrition plans, and sometimes even medical information. That's not something we take lightly.

This policy explains what info we collect, why we need it, and how we protect it. We've tried to keep the legal speak to a minimum because honestly, clarity matters more than sounding impressive. If you've got questions after reading this, just call us at (604) 789-4523 - we're happy to walk you through anything.

What We Collect

Personal Identification Stuff

The basics - your name, email, phone number, address, date of birth. Pretty standard stuff you'd expect any gym to need. We can't really run a membership without knowing who you are, right?

Health & Fitness Data

This is where it gets more specific. We're collecting:

  • Body composition analysis results (body fat percentage, muscle mass, etc.)
  • Workout performance metrics and progress tracking
  • Medical history relevant to training (injuries, conditions, limitations)
  • Nutrition information and dietary preferences
  • Heart rate data and recovery metrics if you're using our monitoring equipment
  • Physical assessment results and fitness test outcomes
Financial Information

Payment card details, billing address, transaction history. We need this to process your membership and service payments. FYI - we don't actually store your full credit card numbers ourselves, that goes through our payment processor.

Technical Data

IP address, browser type, device info, how you navigate our site. This helps us figure out what's working and what isn't. Like, if everyone's bouncing off a certain page, we probably messed something up.

Communications

Emails, messages, feedback you send us. We keep these so we can actually respond to you and improve our services based on what you're telling us.

How We Use Your Data

Alright, here's what we're actually doing with your information:

Delivering Services

Creating personalized training programs, tracking your progress, adjusting your nutrition plans. Y'know, the whole reason you signed up. Your health data helps us design programs that actually work for YOUR body, not some generic cookie-cutter routine.

Account Management

Processing memberships, scheduling sessions, handling billing. Basic admin stuff that keeps everything running smoothly.

Communication

Sending you appointment reminders, class schedules, important updates about your training. Sometimes promotional offers too, but you can opt out of those anytime.

Improving Our Services

Analyzing aggregate data to see what's working. Like, if we notice most clients are struggling with a particular exercise, maybe we need to adjust our approach or provide better coaching on that movement.

Safety & Compliance

Meeting legal requirements, ensuring facility safety, handling any incidents properly. If someone gets injured (hopefully never, but stuff happens), we need proper records.

What We DON'T Do: We don't sell your personal data to third parties. Period. We're not in the data-selling business - we're in the fitness business. Your health information stays between you and us.

Who We Share Data With

We share data with a limited set of partners who help us run our business. Here's the complete list:

Service Providers

Payment processors, scheduling software, email services, cloud storage. These companies need access to certain data to provide their services. They're all under strict contracts that prevent them from using your data for anything else.

Professional Partners

Sometimes we work with sports medicine professionals, physiotherapists, or nutritionists. If we refer you to someone or coordinate your care, we'll share relevant health information - but only with your explicit permission.

Legal Requirements

If we're legally required to disclose information (court orders, regulatory compliance, etc.), we'll do so. But we'll notify you first unless we're legally prevented from doing so.

Important: We'll never share your personal health data for marketing purposes or with data brokers. That's a hard line for us.

How We Protect Your Data

We take security seriously. Here's what we've got in place:

  • Encryption: All data transmission uses SSL/TLS encryption. Your data is encrypted both in transit and at rest on our servers.
  • Access Controls: Only authorized staff can access personal data, and access is limited based on role. Our trainers see what they need to train you, but not your full financial history, for example.
  • Secure Storage: Physical documents are locked up. Digital data is stored on secure, regularly backed-up servers.
  • Regular Audits: We review our security practices regularly and update them as needed.
  • Staff Training: Everyone on our team is trained on data protection and privacy practices.

That said, no system is 100% foolproof. We do everything we can to protect your data, but we can't guarantee absolute security. If there's ever a breach that affects your information, we'll notify you promptly and let you know what happened and what we're doing about it.

Cookies & Tracking Technologies

Yeah, we use cookies. Here's what they do:

Essential Cookies

These keep the website working - logging you in, maintaining your session, basic functionality. You can't really turn these off without breaking the site.

Analytics Cookies

We use these to see how people use our site. Which pages get visited most, where people drop off, that kind of thing. Helps us make the site better. These are anonymized - we're not tracking YOU specifically, just patterns.

Preference Cookies

Remember your settings, language preferences, etc. Makes your experience more convenient.

Marketing Cookies

Track whether you've seen certain promotions or ads. Help us not spam you with the same offer repeatedly.

You can control cookies through your browser settings. Just know that disabling certain cookies might make parts of the site not work right.

Your Rights & Choices

Under Canadian privacy laws (PIPEDA and provincial legislation), you've got rights. Here's what you can do:

Access

Request a copy of all the personal data we have about you. We'll provide it in a readable format within 30 days.

Correction

If something's wrong or outdated, let us know and we'll fix it. Important for stuff like medical history.

Deletion

Ask us to delete your data. We'll do it unless we've got a legal reason to keep it (like tax records).

Portability

Get your data in a format you can take elsewhere. Want to switch gyms? We'll give you your workout history.

Object

Object to certain processing activities, like marketing. Just tell us what you don't want.

Withdraw Consent

Change your mind about something you previously agreed to. This might affect services we can provide.

To exercise any of these rights, just contact us at info@quantumspire.info or call (604) 789-4523. We'll need to verify your identity first (for security reasons), then we'll handle your request.

How Long We Keep Your Data

We don't keep your data forever. Here's our retention schedule:

  • Active Membership Data: Kept for as long as you're a member, plus 2 years after you leave (for reference if you come back).
  • Financial Records: 7 years, as required by Canadian tax law.
  • Health & Training Data: 3 years after your last session. Might be useful if you return or if there are any injury-related questions.
  • Marketing Communications: Until you unsubscribe or request deletion.
  • Legal Records: Varies based on the type of record and legal requirements, but typically 7 years minimum.

After these periods, we securely delete or anonymize your data. "Securely delete" means it's actually gone, not just marked as deleted.

Policy on Minors

We do train athletes under 18, but with some extra protections:

  • Anyone under 18 needs parental/guardian consent for membership and data collection.
  • Parents/guardians can access their child's data anytime and request changes or deletion.
  • We're extra careful with minors' health data and limit who has access to it.
  • Marketing communications aren't sent to anyone under 16 without explicit parental consent.

If you're a parent or guardian and have questions about your child's data, reach out to us directly. We're happy to walk through everything we collect and why.

Changes to This Policy

Privacy laws and our services evolve. When we update this policy, we'll:

  • Update the "Last Updated" date at the top
  • Send you an email if the changes are significant
  • Post a notice on our website for at least 30 days
  • For major changes, we might ask for your renewed consent

We'll never make significant changes that reduce your privacy protections without giving you a chance to review and consent to the new terms.
